What's This Job All About?


The Participant Services Coordinator will provide education and communication services to participants of the various retirement plans serviced by Greenleaf Trust.  Broad responsibilities include, but are not limited to, conducting retirement plan educational meetings, meeting with plan participants, development and presentation of educational and informational materials, assist with participant call center, and coordination and scheduling of other resources relating to participant services.


What You'll Be Doing



  • Maintain basic understanding and knowledge of:
    • Retirement plan types, plan operation and administration, and technical requirements.
    • Investment management concepts, familiarity with different types of investments, and basic retirement and financial planning concepts
  • Provide employee education to participant-base
    • Proactive communication with employers to schedule meetings
    • Create, customize and modify from time-to-time all administrative forms (enrollment forms, beneficiary designation form, distribution and loan forms, etc.), plan descriptions, and technical disclosures and notices used in ongoing administration and communication of each plan
    • Create, customize and modify as needed content of presentation materials used in employee education meetings (initial rollout and ongoing refresher meetings). Coordinate as necessary with employers to incorporate any specific requests for meeting topics
    • Assemble enrollment and meeting packets
    • Conduct impactful group educational meetings, and corresponding one-on-one meetings with participants desiring personal meetings
  • Front line resource for Participant Call Center
    • Respond to participant inquiries on a wide range of plan-related, investment-related and web-site related matters
    • Provide guidance regarding investment strategy
    • Prepare and mail paperwork to participants as requested
    • Coordinate with employer as necessary on certain participant requests
    • Track all incoming distribution and loan form activit
  • Research and monitor retirement trends

    • Utilizing appropriate resources, remain current with industry trends and options
    • Develop and update employee communication materials
  • Manage quarterly participant statement process

    • Write quarterly participant newsletter as necessary
    • Create and/or modify any required technical notices (e.g., annual Safe Harbor Notice), or notifications of plan, administrative or fund changes
    • Review quarterly participant statement packages as necessar
  • Retirement fund focus list

    • Assists Research Team with maintenance of mutual fund focus list
    • Facilitate fund change process for both employers and employees
    • Quarterly download of fund information from relevant software platforms
    • Perform mutual fund comparison as necessary for business development opportunities
  • Participation in designated workgroups and projects as assigned
  • All other duties as assigned



 What You Need for this Position


Minimum Education/ Experience Required:

  • Bachelor’s Degree and prior experience in financial services and/or customer service with retirement plan administration or recordkeeping experience preferred, or equivalent education and experience.
  • Working knowledge of investment and/or retirement plans desirable
  • Experience with Sungard Relius or equivalent participant recordkeeping system desired
